What Information Do We Collect About You?

2Talk Counselling collects information about you when you make an enquiry into our services using the online contact form, email, or telephone. This may include: name; phone number; email address; gender; date of birth; description of issue

We collect further information about you when you proceed to an initial counselling assessment and make payments. This will be collected in person, or via secure, encrypted email, forms or payment platforms and this may include: full name; contact details; age; address; gender; GP contact; medical/health; description of issue; goals; safegarding information;

How Will We Use The Information About You?

We collect information about you, so we can reply to enquiries and maintain client records. All data is collected in accordance with the data protection act 2018 within GDPR requirements.

We use password encrpyption on all business devices which only we have access to. We process your information using 'intakeQ' secure encrypted, online forms, which are HIPAA/GDPR compliant with a BAA agreement. We use G-Suite secure, encrypted email with HIPAA BAA for enquiries and protonmail encrpyted email for email appointments. We use BacPac Cloud storage database for casenotes, which is GDPR compliant. We keep old (pre-14/5/18) hand written case notes and printed copies of intake forms and referral Case Booklets in a locked cabinet.


All personal records are destroyed after 3 years and other correspondance, such as emails and phone contacts are stored no longer than reasonably required. 


We will never disclose personal information to any external parties, within certain limitations. Exceptions include but are not limited to:

  • Court order request 

  • Disclosure of (or suspected) child or vulnerable adult abuse or neglect.

  • Perceived threats of violence/risk to self or others (i.e. threatening suicide/threatening to injure others).

  • ​Terrorism.

  • Drug money laundering.

  • Some third party referrals requests such as EAP workplace or other referrals and only within BACP ethical guidelines.

As a client, your rights under data protection law enable you; to access a copy and explanation of your personal data; request correction or erasure (in certain circumstances); to request limiting or ceasing data processing (where applicable); to compensation for substantial damage or distress caused by data processing (where applicable)

Booking & Payment Terms

Initial Assessment: this is our first online meeting where we evaluate if we might do constructive work together. This initial assessment aims at clarifying your needs and establishing the best way forward, including frequency of sessions, length of therapy and possible referrals to other services.


After the initial session: all appointments can be reserved (subject to availability) via Online Booking Calendar, in person during face to face attendance, or held on request as a regular reservation for ongoing attendance.


Session confirmation: confirmation is recieved by email. Session confirmation is subject to ethical suitability of service requested. 

Payment: payment is taken after session confirmation via Stripe or PayPal. *Pre-Paid package bookings are available for limited duration after payment - please see service package details for specific durations. 


Payment terms and conditions are subject to change from time to time according to business requirements. Please check back often to clarify any updates.

Cancellation Policy and Re-scheduling: cancellation can be made through Online Booking Calendar up to 72hrs before appointment, after which time the full fee is retained. Appointments can be rearranged online up to 24hrs before session commences, subject to availability.
